Approve the app
A global admin approves ModernSync in Microsoft 365. Nothing is installed on phones or servers.
The approval can be withdrawn at any time in Microsoft Entra.

Choose the groups
Pick who becomes contacts and who receives them. A test run shows exactly what would change before anything is written.
Rules can be changed later; the test run always shows the effect first.

Contacts on every phone
Every night the contacts are updated in employees' mailboxes, and phones and Outlook pick them up from there.
Changes in Microsoft 365 reach the phones by the next morning.
How ModernSync gets contacts onto every phone
A global admin approves the app in Microsoft 365, chooses who becomes contacts and who receives them, and checks a test run. From then on ModernSync updates the contacts in every mailbox each night, and iPhone, Android and Outlook pick them up from there.

Set-up takes about five minutes.
A test run first
The test run shows exactly how many contacts would be created, updated and removed in which mailboxes. Nothing is written until you switch synchronisation on.
Tagging, delete guard and cancelling
- Tagged contacts
- ModernSync gives its own contacts a hidden tag and only changes contacts with that tag. Contacts your employees created themselves have no tag.
- Delete guard
- A run that would remove an unusual number of contacts stops and waits for you.
- Cancelling
- Cancel in the portal and choose whether the contacts are removed or kept.
Where the contacts show up
The contacts are written to each employee's Microsoft 365 mailbox. They appear wherever the mailbox's contacts are synced: the built-in contacts on iPhone and Android, the Outlook app, and Outlook for Windows, Mac and the web.
