How to sync Outlook contacts to iPhone

Updated 13 October 2026

To sync Outlook contacts to an iPhone, add the work account as a Microsoft Exchange account with Contacts turned on, or turn on Save Contacts in the Outlook app. Both copy the user’s own contacts from the mailbox to the phone. Colleagues in the organisation’s directory are not included, so calls from them still show a bare number.

1. Add the work account as an Exchange account

On the iPhone, go to Settings › Apps › Mail › Mail Accounts › Add Account and choose Microsoft Exchange. Enter the email address, tap Sign In and complete the Microsoft sign-in. On the list of items to sync, turn on Contacts and tap Save.

If the account is already on the phone, open Settings › Apps › Contacts › Contacts Accounts, tap the account and turn on Contacts. Older iOS versions have the same switches without the Apps step.

2. Or turn on Save Contacts in the Outlook app

If the user reads mail in the Outlook app, open the app’s settings, tap the work account and turn on Save Contacts. Allow Outlook to access Contacts when iOS asks. Without that permission nothing is copied.

On iPhone this is a one-way export: Outlook writes its contacts into the phone’s Contacts app. Microsoft recommends editing contacts in Outlook, not in the iOS Contacts app.

3. Why colleagues are missing

Both methods sync the contacts stored in the user’s own mailbox. Colleagues live in the global address list, which phones can search while online but never copy down as contacts. That is why a colleague’s call shows a number unless the user has saved that colleague by hand.

4. Why contacts stop syncing

  • The account was added as IMAP. IMAP carries mail only. Remove it and add it again as Microsoft Exchange.
  • The contacts are in a subfolder. The phone shows the main Contacts folder in the mailbox. Contacts in folders under it stay in Outlook.
  • Outlook was suspended. The Save Contacts export starts when Outlook is open in the foreground. If iOS suspends the app during the first export, some contacts can be missing. Open Outlook and leave it open for a while.
  • Access to Contacts was denied. Check the Outlook app’s permissions in the iPhone’s settings and allow Contacts.
  • A policy blocks it. If an Intune app protection policy blocks syncing app data with native apps, Save Contacts is switched off for the work account.
  • Duplicates. Turning on Save Contacts on several devices, such as an iPhone and an iPad, can create duplicates. Microsoft’s fix is to turn the setting off, remove the saved contacts and turn it on again.
