Email alerts

Updated 14 October 2026

ModernSync can send an email to the recipients you choose when a live run fails or the delete guard stops it. That way you find out even if nobody is looking at the portal. Alerts are switched on when you sign up and go to the operations contact you entered there. They cost nothing.

1. Change the recipients

Go to Settings. Under Send an alert by email you can enter up to five email addresses in Recipients, separated by commas, for example the IT team’s shared mailbox. The addresses must belong to users or groups in your own Microsoft 365 organisation. If an external IT partner needs the email, set up a forward in your organisation. Click Save.

2. When an email is sent

  • A live run fails completely or partly.
  • The delete guard stops a rule.

You get no more than one email per run. If several runs fail in a row, ModernSync sends at most one email about the same kind of problem every 12 hours and at most three emails a day. Test runs never send an email, and neither do runs while Test runs only is switched on.

3. What the email contains

The email says which organisation it concerns, when the run was and what happened, with the same explanations as under Runs, but without folder and mailbox names. You find those in the portal. It links straight to Runs in the portal. The email is in the language the portal showed when the alerts were saved. It is sent from a mailbox at ModernSync, and replies are not read.

4. When you get an alert

Open the run in the portal and look at the reason. If the delete guard stopped a change you made on purpose, use Run once anyway. The article on test runs and the delete guard explains how it works.

Switch alerts off

Untick Send an alert by email and click Save. The recipients are kept, so you can switch alerts on again later.
